Our client seeks an experienced, adaptable and motivated Executive Assistant to provide support to both the Chief Financial Officer and Chief Commercial Officer. This is a hybrid position, with 2-3 days/week onsite in their SoHo, Manhattan office.

In this role you’ll have the opportunity to:

- Manage complex day-to-day correspondence, calendars, travel arrangements, expenses, and scheduling for the CFO and CCO based on communicated priorities.
- Manage internal and external communications; reaching out to industry contacts about Wealth Management, communicating with internal groups across the org. on behalf Finance and Commercial, etc.
- Manage and coordinate all logistics for Finance and Commercial programming, including accommodations, travel, venues, IT support, catering, etc. This includes all-hands meetings, leadership meetings, takeovers, 1:1 engagement meetings with frontline staff, and semi-annual events.
- Work collaboratively with cross-team EAs to help move the business forward
- Assist with organizing and maintaining information libraries and communication channels
- Effectively interface with employees across the company
- Be ready and willing to get involved in special initiatives and projects such as event planning, drafting internal communications, team and individual recognition, etc.
- Free up capacity for CCO and CFO as needed, and act as support for leadership teams.
- Workplace Operations - Act as the point-person for the NYC-based team, including being physically in-office 2-3x/week. This includes:
- Support basic office administration ex. Receiving packages and notifying recipients, responding to requests in Slack, coordination with Workplace Ops team, access card distribution, etc.
- Work collaboratively with IT support to troubleshoot A/V issues


Must Have Skills:

- Previous experience in executive administration (4+ years), ideally in a fast-paced and innovative environment.
- Skillful execution of administrative activities with high attention to detail, organization and process
- Ability to prioritize and manage time effectively
- Strong collaboration and relationship management skills; ability to build a personal network throughout the company and with external partners.
- Strong oral and written communication; ability to communicate clearly and effectively with senior leaders, external stakeholders, and business partners.
- Agility and flexibility in response to changing priorities and need with proactive followthrough
- Ability to handle confidential information with the utmost discretion
- Experience with tools such as Slack, Glean, Google Meet, Google Calendar, Excel, PowerPoint, Google Docs and/or Notion is an asset, though not a hard requirement.
- Tech savvy; comfortable working collaboratively with remote support to troubleshoot IT issues.
- Willing and able to work onsite 2-3x/week, and to travel to HQ in Toronto approximately 1x/quarter.

- Previous experience supporting executives in a fast-scaling startup
- Interest/knowledge around wealth management and financial technology
- Experience boosting team energy and collaboration - someone with an outgoing personality and high level of team engagement is a big plus!
